Job Purpose

 

To provide key secretariat support to the School's Governing Board and Management Committee.  To provide assistance to Director, Strategic Planning in the strategic management of the School, including working with internal departments on cross-departmental projects and proposals, and liaising with external agencies.

 

Duties & Responsibilities

 

Secretariat for the School's Governing Board and Management Committee.

- Coordinate and manage the meeting agendas.

- Liaise with Board members and Committee members for meeting matters.

- Record the minutes and keep track of the follow-up actions required.

- Ensure that the logistical arrangements for the meetings are in order.

 

Assist Director, Strategic Planning in the strategic management of the School, particularly in relation to dealing with Government and other external funding agencies.

- Assist in the planning and writing of proposals.

- Prepare and analyse data in relation to the proposals.

- Liaise with Government and other external funding agencies to get the proposals through.

- Work with internal departments to pull together information needed for the proposals.

 

Ensure proper information management within the Strategic Planning Department.

- Select information and knowledge that are crucial to the functions of Strategic Planning, particularly with regard to its secretariat support for the School’s Governing Board and the School’s strategic thinking on priorities and challenges, and put in place proper information and knowledge management processes.

- Where relevant, make use of the information and knowledge to enhance the School’s planning processes and propose improvements.

 

Any other duties as assigned by the Director.

Requirements

Qualification:

Bachelor/Honours/Master degree from any field. Open to both fresh graduates and those with two to three years work experience.

Knowledge & Skills required:

Excellent writing skills.

Good attention to details.

Able to work well with others.

Good knowledge of MS Office applications.

Experience in staffing high-level meetings is a bonus.
